Frequently asked questions

A few things you may want to know before we begin.

From how Toluva works to pricing, projects and ongoing support, here are answers to some of the questions that come up most often.

01
Getting started

Before we work together.

What kind of businesses does Toluva work with?

Toluva works with small and growing businesses that need more structure behind the scenes—particularly around finance, operations, projects, systems and recurring administrative work.

We are based in Belize and work remotely with businesses in Belize and beyond.

Do I need to know exactly which service I need?

No. Find Your Fit is designed to help you identify a practical starting point without needing to understand every Toluva service before you begin.

If you decide to continue, we look at what is actually happening in your business before recommending the next step.

What happens before work begins?

We first understand the need, agree on the scope and determine the most practical way to work together.

Before work begins, you will know the agreed scope, timing, responsibilities and fee.

02
Services & scope

What Toluva can help with.

Is Toluva an accounting firm?

Toluva provides bookkeeping, financial organization, reporting support and business operations management.

Formal audits, tax filings and services requiring a licensed accountant remain with your accountant or tax professional. Toluva helps keep the underlying records organized and ready.

Can I hire Toluva for one specific project?

Yes. Not every engagement needs to become monthly support. Defined projects may include clean-ups, system setup, workflow improvements, business reviews, project coordination or other clearly scoped work.

What is the VARGAS Framework?

The VARGAS Framework is Toluva’s diagnostic lens for looking at six areas of a business: Visibility, Administration, Reporting, Growth, Accountability and Support.

It helps us look beyond one immediate problem and understand where clearer systems or support may make the biggest difference.

03
Billing & payments

How fees are handled.

How does pricing work?

Pricing depends on the scope, condition of the existing records or systems, level of involvement and whether the work is ongoing or project-based.

You receive the agreed fee before work begins. Setup, historical clean-up and third-party costs are identified separately when relevant.

Do you offer monthly and one-time arrangements?

Yes. Toluva offers recurring fractional support as well as clearly defined one-time projects and business reviews.

How are invoices and payment terms handled?

Payment timing and terms are stated in your proposal or engagement agreement. Any deposits, recurring billing or project milestones are agreed before the engagement begins.

04
Documents & information

Keeping the work organized.

Will I need to send financial or business documents?

It depends on the work. We only request the records, documents or system access needed for the agreed scope.

We agree on how information will be shared before work begins.

Do I need to have everything organized before contacting you?

Definitely not. Sometimes getting things organized is the work. You do not need perfect records or systems before reaching out.

05
Meetings & check-ins

How we stay connected.

Do you work remotely?

Yes. Toluva is based in Belize and designed to work remotely. Meetings, document sharing, updates and communication channels are agreed according to the engagement.

How often do we meet?

The rhythm depends on the work. Some clients may have regular monthly or weekly check-ins, while project work may use milestone meetings instead.

The frequency is agreed as part of the scope.

I am already a client. How do I request a check-in?

Existing clients can use the Client Check-In form to select what they would like to discuss, add anything they want reviewed beforehand and indicate whether something is time-sensitive.

06
Client access

Your relationship with Toluva.

Is there a client portal?

Toluva is developing its private client workspace gradually. Client-facing access will be introduced where it genuinely makes working together simpler.

For now, existing clients can use Client Check-In and the communication and document-sharing channels agreed for their engagement.

Who will I actually work with?

You work directly with Jessica. Toluva is intentionally a hands-on fractional practice rather than a large agency.

Still have a question?

Start with where you are.

You do not need to know exactly what you need before reaching out.
